In order for a charity to be considered at a meeting, an organization must be based in and serve Prince Edward County and it must be a registered, not-for-profit or charitable organization able to provide tax receipts for donations. We are not considering nominations to national or international charities, programs, or organizations at this time, as the current focus is on contributing to our local community. It must also be previously established (no start-ups).
Members are asked to nominate a local charityvia our web page, at least one week before each meeting. All approved and legitimate charity nominations will be eligible for the draw box on the night of the meeting.
All members are strongly encouraged to nominate a charity, however it is not a requirement.
If a charity was one of the three FINALISTS at a previous meeting, it cannot be nominated at the next two meetings but will be eligible at the third meeting. If a charity was a WINNER at a previous meeting it cannot be nominated at the next four meetings but will be eligible at the fifth meeting . The exception is a specific program within a large organization (for example, a specific department or program within a hospital), which may be considered again after two meetings for a different program or department.
We will accept multiple nominations for the same charity. If a charity is nominated multiple times then it will have multiple ballots in the draw box, however it can only be one of the three that are voted on at the meeting.
Three charitiies will be selected at the meeting. The nominating member will be asked to give a short, three minute presentation to the group as to why the organization they are nominating should receive the donation. Members can ask other members to present their charity on their behalf. Guests are not permitted to present.
The nominating member of the charity who is chosen to recieve the donation, is asked to present a brief follow up report to the members at the next meeting.
All charity nominations are cleared after each meeting. In other words, you must complete the charity nomination form before each meeting in order for your charity to be considered. You can nominate the exact same charity, as long as it meets the above criteria. We follow this process to make sure the list of nominated charities remains up to date.
